Property/Office Manager
Seeking a highly motivated and experienced Property/Office Manager (POM) to oversee a successful and vibrant 62-unit beachfront property. The ideal candidate will be responsible for managing the property's rental and homeowner’s association operations on behalf of the owners, ensuring the highest level of service, guest relations, and maintenance. Additionally, for the first year, and in coordination with the construction firm’s project manager, the POM will oversee the construction of a small office building on property. Further, the POM will oversee the remaining property improvements resulting from Hurricane Ian. The POM will also be responsible for overseeing an excellent staff of 9 full/part-time staff and contractors who manage the rental operations, front office operations, property maintenance and cleaning operations. Finally, the POM will work closely with the Board of Directors to plan, strategize and assure that Sanibel Siesta remains a premier rental property on Sanibel Island.
Responsibilities and Oversight
Rental Business
Directs rental operations staff and oversees the following:- Manages rental operations, marketing strategies and facilitate bookings
- Develops and implements marketing strategies to maximize occupancy
- Handles guest inquiries, complaints, and requests- acts as a guest ambassador
- Maintains accurate records of rental transactions and financial activities
- Ensures compliance with all public health, city, and state standards and regulations
Property Maintenance
Directs property maintenance staff and oversees the following:- Daily maintenance and upkeep of the property
- Manages and coordinates repairs, renovations, and improvement projects
- Ensures compliance with health, safety, and environmental regulations
- Conducts regular inspections to maintain the property's standards
Association Operations
Directs association business and oversees the following:- Secures wind, flood and business operations insurance
- Oversees the collection and maintenance of the HOAs and manages the Reserve funds
- Assures the association is in compliance with state laws regarding condo associations
- May communicate with Association attorney regarding HOA and condo documents
- Houses and manages all HOA and condo documents on OneDrive system
Project Management
Acts as the lead and oversees the following:- Plans and executes property improvement projects
- Manages budgets and timelines for projects
- Coordinates with contractors, vendors, and other stakeholders
Staff Management
- Supervises up to 9 staff and contractors daily who handle the following functions: reservations, bookkeeping, maintenance, unit cleaning and inspections
- Provides ongoing communications with staff
- Enters and processes biweekly payroll, enrolls staff in benefits programs
- Maintains contact with banks, vendors, CPA firm, systems’ representatives (Barefoot, payroll, Quick Books, etc.)
- Ensures all laws, regulations and policies are understood followed
- Recruits, trains, evaluates, coaches and counsels staff as expected and needed
- Working with the part-time, in-house bookkeeper, oversees Accounts Payable, Receivable, QuickBooks entries and work product of the outside accountant
- Reviews and ensures accurate monthly and annual financial statements
- Develops and maintains relationships with banking, investment and accounting agencies
- Ensures accurate monthly owners’ statements as well as tax filings, etc.
Board and Owner Relations
- Remains available and in contact with Unit Owners, some of which are Board members as well as Board committee members
- Staffs Board meetings and assists with some committee meetings, to include scheduling and communicating Zoom meetings, ensuring notes and minutes are saved to the OneDrive
- Sanibel’s Condo Association Manager’s group
- SanCap Chamber
- Other local association groups that may benefit Sanibel Siesta
Qualifications
- Proven experience as a Property Manager or similar role
- Proven experience as a Supervisor
- Strong knowledge of property management practices and procedures
- CAM license
- Hospitality experience
- Excellent organizational and multitasking skills
- Outstanding communication and interpersonal abilities
- Proficiency in property management software
- Ability to work independently and as part of a team
- High School diploma required; college degree in Hospitality preferred
